E-way bill expired at a checkpost? Here is what to do

EWB expired? What the fine is, how the extension process works, and how to avoid it next time. A straight-up guide.

Your e-way bill has expired and the truck is stuck at a checkpost. Don’t panic — panic makes it worse. Here is a 3-minute guide to what to do.

First, understand how EWB validity is calculated

EWB validity is tied to distance — it works on a slab system:

Distance                   Validity
Up to 200 km               1 day (24 hrs)
Every additional 200 km    + 1 day
Over-dimensional cargo     Different slabs

A "day" here means 24 hours, counted from the minute the EWB was generated. Validity does not expire at midnight — it expires at the exact hour.

If it has expired

Fine: the penalty is tax amount + applicable cess, or ₹10,000 — whichever is higher. Some states also detain the vehicle.

Good news — on the EWB portal, you can extend the bill up to 8 hours before expiry, or up to 8 hours after. Outside that window, you cannot.

Extension process

  1. Log in at ewaybillgst.gov.in.
  2. Choose "Extend validity" and enter the EWB number.
  3. Enter a reason: natural calamity, law & order, transhipment, accident, or vehicle breakdown — whichever applies.
  4. Enter remaining distance. The system calculates new validity based on that.
  5. Update the vehicle number if it has changed (Part-B).

After extension, reprint the EWB and send it to the driver over WhatsApp — that is what the checkpost officer will ask to see.

How to avoid this next time

  • Build in a buffer. A 1,423 km trip gets 7 days of validity? Target the driver at 6, keep 1 as buffer.
  • Set a WhatsApp reminder. An alert 8 hours before expiry — that is when the extension window opens.
  • Extended EWB allowance. High-risk routes like Mumbai–Delhi often hit traffic or breakdown delays — flag the extra day to consignor/consignee up front.
  • Vehicle change = Part-B update. On a breakdown, people forget to update Part-B. That alone accounts for roughly 40% of checkpost holds.
